Whether you're building a daily pick list, running reports for a 3PL client, or performing an inventory spot-check, exporting data from ShipHero is a key part of daily operations. Exporting lets you share information with your team, provide transparency to clients, and make informed decisions about warehouse operations.
Choosing the Export Method
ShipHero provides three ways to export report data. Depending on your goals and user permissions, these options are located at the top of the data table.
1. Export All Rows
The most comprehensive export option. Captures every record matching your active filters, regardless of how many rows are displayed on screen.
- Format: CSV (Excel compatible).
- Best for: Full-scale picking lists or monthly audits involving thousands of rows.
- Workflow: ShipHero generates the file on the server, uploads it to a secure location, and opens it in a new tab for download.
2. CSV and PDF (Current Page)
Exports an immediate snapshot of the data currently visible on your screen.
- CSV: For quick data manipulation in spreadsheet software.
- PDF: For clean, printable documents for floor managers.
These options only export the page you are currently viewing. If the report contains 500 items but your page size is set to 50, only those 50 items will be exported.
3. Column Visibility
Use this tool to customize the report before exporting. Toggle off unnecessary columns (such as internal IDs) so the final file contains only the data you need, such as SKU, Product Name, and Quantities.
Permissions and Restrictions
To maintain security, especially in 3PL environments, ShipHero Administrators can restrict export capabilities.
| Access Level | Available Features |
|---|---|
| Standard Access | Export All, CSV, PDF, and Column Visibility. |
| Restricted Access | Column Visibility only. Export All, CSV, and PDF buttons are hidden. |
To modify these settings, go to My Account > Roles and Permissions, click the role you want to edit, and enable or disable the Restrict Exports permission.
Best Practices for Data Exports
- Filter before exporting: Apply filters (such as Warehouse or Ready to Ship) before selecting Export All Rows to reduce processing time for large files.
- Wait for processing: When using Export All Rows, the button changes to Exporting. Please wait. Do not refresh the page — the system is processing the request on the server to ensure file integrity.
- Excel compatibility: All CSV exports include a Byte Order Mark (BOM), ensuring the file opens correctly in Microsoft Excel without character encoding errors.
Frequently Asked Questions
Why aren't my visible columns exporting to CSV?
After adjusting column visibility settings, you must refresh the page before exporting. This syncs your browser view with the ShipHero export engine.
| Action Step | Reason |
|---|---|
| 1. Adjust Column Visibility | Selects the specific data points needed for the report. |
| 2. Refresh the Browser | Ensures the export reflects the updated column selection. |
| 3. Execute Export | Generates the CSV file based on the current UI state. |
