How to Create and Manage Wholesale Automation Rules in ShipHero

Wholesale Automation Rules are built and managed from the Wholesale Settings page. Each rule runs on a trigger, can be scoped with conditions, and completes one or more actions. Every available trigger, condition, and action is listed below, along with the steps to view, create, edit, enable or disable, and delete rules.

Before You Begin

You need the matching Wholesale:Manager permission for each action below. Without it, ShipHero blocks the action and shows a permissions error. For the full permissions table, see Overview: Wholesale Automation Rules in ShipHero

Activation Required

The Wholesale Automation Rules feature is currently in BETA and needs to be enabled before it shows in your account. Please contact ShipHero support to have Wholesale Automation Rules enabled.

How to View Wholesale Automation Rules in ShipHero

  1. Go to Settings > Wholesale Settings. You can also reach this page from the Wholesale dashboard using the Settings shortcut.
  2. Select the Wholesale Automation tab.

The list shows every rule configured for the account, including its name, trigger, actions, conditions, and status (Active or Inactive). When no rules exist yet, ShipHero shows an empty state with a button to create your first rule.

Wholesale Automation Conditions

Conditions are optional and are matched against the attributes of the order being processed. When a rule has more than one condition, ShipHero requires every condition to match before the rule runs.

Condition Matches on
Client Orders belonging to specific 3PL client(s).
Retailer Orders associated with specific retailer(s).
Order Status Orders matching the wholesale order status, multi-selection.
Order Tag One free text to match the tag
Days until preparation date Number of days until the selected perparation date.
Days until shipping date Number of days until the selected shipping date.
Order Type Orders of type Freight or Courier.
Warehouse Orders assigned to a specific fulfillment node.
Order Zip code Orders matching specific ZIP code(s).

Wholesale Automation Actions

Wholesale automation rules support three actions.

  • Auto-assign Locations: automatically assigns picking locations to the order using the same priority rules as the Auto-assign Allocation modal in the wholesale flow.   • Remove "not allocated" products from the order: changes the order line to the quantity actually picked and resolves the location's Hospital state. No desktop operator intervention is required.
  • Prepare for Picking: returns the order to Picking so it can continue through the pick flow. When another action on the same rule changes the picking plan or allocations, for example Auto-assign Locations or Remove "not allocated" products from the order, add Prepare for Picking after it. How to Create a Wholesale Automation Rule in ShipHero

  1. On the Wholesale Automation tab, click Create Automation.
  2. Enter a Name for the rule. The name must be unique. ShipHero rejects an empty or duplicate name.
  3. Set Multiple runs per order, next to the rule name. Leave it off for the rule to run only the first time the trigger fires for an order. Turn it on for the rule to run every time the trigger fires for that order.
  4. Select a Trigger from the available options.
  5. Add conditions (optional). Click Add Condition, choose a condition type, and select its value(s). Add more conditions as needed. Leave this section empty to apply the rule to every order that fires the trigger.
  6. Add one or more actions. Click Add Action, select the action, and configure its parameters. Actions run in the order they are listed.
  7. Click Save. ShipHero validates the configuration, saves the rule, and sets its status to Active by default.

  1. On the Wholesale Automation tab, click the hyperlinked name of the rule you want to change.
  2. Update the name, add or remove conditions, or adjust the action parameters. The rule opens with its current configuration pre-filled.
  3. Click Save. Future executions use the updated configuration.

How to Enable or Disable a Wholesale Automation Rule in ShipHero

Click the Active toggle for a rule on the Wholesale Automation tab. Toggling to Inactive immediately stops the rule from being evaluated and keeps its configuration. Toggling to Active resumes evaluation for future trigger events.

How to Delete a Wholesale Automation Rule in ShipHero

  1. On the Wholesale Automation tab, click the delete icon for the rule.
  2. Confirm the deletion in the confirmation dialog.

Important

Deleting a rule is permanent. The rule is removed and never executes again. To pause a rule instead, disable it rather than deleting it.
