Connecting an Existing Endicia Account
If you need to connect an existing Endicia account or have NSA rates with Endicia you need to partner with the ShipHero Support team to connect your account.
Required Information:
| Required Information | Description |
| Warehouse | The physical warehouse location you are shipping from |
| Profile | To make the carrier connection available for all orders use the default profile. If only specific orders should use this account use a custom profile. More information on How to Use Warehouse Profiles. |
| Endicia Account Number | A unique identifier, typically a 6-digit number like 929376. |
| Endicia PassPhrase | The specific PassPhrase for software integration, NOT your Endicia.com login password. |
| Mailed From ZIP | Optional. Use this if shipping from a different ZIP code than your return address to ensure proper routing. |
Support cannot provide your PassPhrase to you due to confidentiality. If you do not know your software PassPhrase, you must request it directly from Endicia to be sent to your registered email.
Label Creation and Services
When a shipment is processed, ShipHero sends an XML request to Endicia and receives a digital label image. Addresses are automatically validated against USPS standards during this process.
- Supported Sizes: Labels are available in 4x6 and 6x4 formats.
- Signature Options: You may configure standard Signature Confirmation or Adult Signature requirements.
- Insurance: Endicia supports package insurance, including ParcelGuard options.
- Hazardous Materials: The system supports Hazmat declarations and dangerous goods flags in customs forms.
Exception for shipments to Puerto Rico: When shipping to Puerto Rico through USPS, make sure the address shows: Country: US and State: PR; this is an exception for Endicia only as all other carriers require to have Puerto Rico as the country.
International Shipping and Customs
For international shipments, ShipHero automatically generates customs documentation, such as the CN22 (FORM2976).
| Invoice Detail | Information Included |
| Product Info | Description, quantity, weight, value, country of origin, and HS Tariff numbers. |
| Tax Identifiers | The integration supports Tax IDs or VAT numbers via the Senders Customs Reference field. |
| Military Addresses | APO/FPO/DPO addresses are recognized and adjusted for US territories automatically. |
Return labels are not supported for APO/FPO/DPO addresses.
Available Settings After Connecting an Endicia Account
Managing your shipping carriers effectively is the backbone of a smooth warehouse operation. When using Endicia for your USPS shipments within ShipHero, fine-tuning your connection settings ensures that your rates are accurate, your manifests are timely, and your returns process is cost-effective.
Once you have connected your Endicia account, you can manage the account settings by navigating to the Lagacay Shipping > Carriers page and selecting the Settings button on your Endicia connection.
| Setting Name | Description/Action |
| Cut-Off Time | Tells the system when the carrier driver typically arrives at your warehouse. Labels generated after this time will be printed with the creation date of the following day. |
| Add funds | Manage funds and prepay your Endicia account using the credit card entered in your Endicia account. Enter an amount, then click the "Add Funds" button to add money to your Endicia account. |
| Pay On Use Returns | Only pay for return labels when the label is scanned. Requires Endicia Rep approval. More on the Pay-On-Use setting explained below. |
| Mailed From ZIP | Overrides the origin ZIP on the label. Use the 5-digit warehouse ZIP. More info below. |
| Disable Quoting | Hides Endicia from rate shopping. Use to simplify carrier selection. |
Pro-TipTo speed up your end-of-day process, ensure your Cut-Off Time is set at least 30 minutes before your actual pickup. This gives your team a buffer to finalize the manifest and ensures all packages packed right up to the deadline are included on the daily SCAN form.
Saving Costs with Pay-On-Use Return Labels
Endicia charges for postage the moment a label is printed. However, Pay-On-Use Return Labels allow you to provide a return label to a customer while only being charged if that label is actually scanned into the mail stream.
- The Benefit: You do not tie up capital in prepaid return labels that may never be used.
- Requirements: You must contact your Endicia representative to enable this feature on your account before toggling it on in ShipHero.
- Restrictions: This feature is not available for military (APO/FPO/DPO) addresses.
- Supported Methods: Priority, Express, First Class, and ParcelSelect.
Resolving Endicia Error: Pay-On-Use Return Labels Not Enabled
When attempting to generate labels, you may encounter the following error message: "The ability to print standalone Pay-on-Use Return labels is not enabled for your account. Error encountered (Log ID: 34255)"
This error is generated by Endicia and indicates that the Pay-On-Use Return Label service is not currently active on your carrier account. You have two options to resolve this issue: enabling the service with the carrier or disabling the requirement within ShipHero.
| Resolution Path | Requirement |
| Enable Service | Contact Endicia to authorize Pay-On-Use labels on your account. |
| Disable Feature | Uncheck the feature in ShipHero Carrier Settings to bypass the error. |
If you require assistance, contact Endicia directly at 800-576-3279 (extension 140). You will need your account number. If you do not have this on hand, ShipHero Support can provide the reference number for you.
Correcting Your Mailing Origin (Mailed From ZIP)
Sometimes your official business return address is in a different location than your actual shipping warehouse. To ensure the USPS calculates zones correctly and displays the right origin, you use the Mailed From ZIP.
Example: Your office is in New York (10001), but your warehouse is in California (90210). By setting this to 90210, your labels will reflect the California origin in the top-right corner. This ensures the correct shipping zone is applied to your rates.
Important Reminders when Connecting a Carrier Account
- Using Custom Profiles: Custom profiles allow you to connect the same carrier account multiple times with unique settings, such as specific Incoterms or 3rd Party Billing. For these settings to apply, the order must be assigned to that specific profile. If the assigned profile lacks a connected carrier, ShipHero will automatically use the carrier account connected the warehouse’s default profile for the selected shipping method. This ensures your specialized billing and shipping terms are applied correctly to every label. Visit the following article for more information on How to Use Warehouse Profiles.
- Multi-Warehouse Accounts: To generate labels from multiple warehouses, you must connect your carrier account to each individual location in ShipHero to avoid shipping errors or billing discrepancies. Please consult your carrier to determine if a single account number supports multiple origins or if unique accounts are required for each site. This is especially critical for international locations, as carrier operations vary by country.
- Note for 3PLs: When connecting a new carrier account to ShipHero, double check your 3PL Clients' Settings to ensure you are connecting the carrier account to the correct ShipHero account; if Use Customer's Shipping Accounts is enabled the carrier account must be connected at the child account level, if Use Customer's Shipping Account is not enabled, the carrier account needs to be enabled at the 3PL level. More information about Managing 3PL Client Settings can be found here.
