Billing Special Projects via Work Orders

Linking a work order to a WorkforceHero special project lets ShipHero automatically track staff hours and send them to 3PL Billing when the work order closes. Each work order can be linked to one special project.

When creating a work order in ShipHero, you can link it to a WorkforceHero special project so that staff hours clocked against that project are automatically tracked and billed to your client.

When you save the work order, ShipHero automatically creates a matching special project under the Special Projects page. The project name combines the work order name and work order ID, so every special project has a unique name.

From the Special Projects page, you can print a barcode for staff to scan when clocking into that project.

How WorkforceHero Hours Are Sent to 3PL Billing

Hours tracked in WorkforceHero flow automatically to the linked work order in ShipHero. They appear under the Ad-hoc charges section of the work order. Because these hours are tracked automatically, they cannot be edited from the work order page it must be completed in WorkforceHero; see, Managing WorkforceHero: Jobs, Shifts, Reports & Alerts for more information.

When the work order is marked as Done, ShipHero sends the charges to the client's 3PL Billing page and the special project is marked as Inactive.

Important

Before marking the work order as Done, confirm that the WorkforceHero hours look accurate. Once the work order is marked as Done, the charges are sent to the client's 3PL Billing page and the session can no longer be edited in WorkforceHero. Any corrections must be made from the customer's billing page instead.

How to Correct Tracked Hours in WorkforceHero

If the hours in a WorkforceHero special project do not match what staff actually worked, correct them in WorkforceHero before the work order is closed. Go to the user's activity log in WorkforceHero and update the session there. The corrected hours will reflect in the work order's Ad-hoc charges section.

Adding Non-Automated Charges to a Work Order

Some charges on a work order are not tracked automatically by WorkforceHero. Per-unit charges must be entered manually — ShipHero does not count units from WorkforceHero activity. Go to the work order and enter the unit quantity in the additional charges section before closing the work order.
