Overview: Carrier Reconciliation in 3PL Billing

Carrier Reconciliation in ShipHero's 3PL Billing compares the shipping cost quoted at the time a label was printed against the amount your carrier actually billed. When a difference is found, ShipHero adds an adjustment to the customer's next bill automatically.

Reconciliation is triggered by uploading a carrier invoice CSV to 3PL Billing > Reconcile. ShipHero matches each row to a shipment using the tracking number, then calculates the variance.

Important

Carrier reconciliation files cannot be deleted once uploaded. Always verify your data before uploading. If a record must be removed from the database, contact ShipHero Support.

How Carrier Reconciliation Works in 3PL Billing

  1. ShipHero matches uploaded invoice rows to shipments using the tracking number and the selected carrier.
  2. The system compares the quoted cost (at time of label printing) to the actual cost (from the carrier invoice).
  3. Differences appear as label reconciliations on the customer's billing page and are added to their next generated bill.

The carrier selected in the reconciliation module is used to filter shipments. ShipHero only matches tracking numbers from labels created with that carrier — it will not cross-match to other carriers. Exception: selecting Endicia also searches for USPS labels, since Endicia uses USPS for delivery.

The reconciliation workflow involves three steps: export your invoice from the carrier portal, upload it to ShipHero, and handle any custom CSV formatting if your carrier is not FedEx, UPS, or Endicia.
