How to Create and Update Locations in Bulk via CSV

Locations in ShipHero are the named storage areas in your warehouse, like bins, shelves, and pallet positions. You can create many locations at once by uploading a CSV file, or update settings for many existing locations by exporting them to a CSV file, editing the file, and uploading it back into ShipHero. Use these methods to add locations, rename locations, change pick priorities, or update pickable and sellable status without working one location at a time.

Before You Begin

  • Create or update: The Locations CSV upload creates new locations. The Location Update CSV changes existing locations only and does not create new ones.
  • Required permission: You need permission to create and manage locations in the warehouse you are working in.
  • Case-sensitive values: Template headers and Yes/No values are case-sensitive. When Yes or No is entered without a capital first letter, ShipHero sets the Pickable and Sellable fields to No.

For an overview of all location settings in ShipHero, see How to Create and Manage Locations in ShipHero.

How to Create Multiple Locations via CSV in ShipHero

The Locations CSV upload creates many locations at once instead of adding them one at a time. Download the template and upload it from My Account > CSV Management.

Important

Template headers and Yes/No values are case-sensitive. When Yes or No is entered without a capital first letter, ShipHero sets the Pickable and Sellable fields to No. For multi-warehouse accounts, select the warehouse from the dropdown when you upload. Do not add a Warehouse column to the file. For uploads over 500 locations, break the CSV into batches of 100 to 200 rows.

  1. Go to My Account > CSV Management.
  2. Select the Select Item to Update dropdown and choose Locations.
  3. Select Download Locations Template. All columns in the template are required fields.
  4. (Optional) Add an Is Cart column to create Transfer locations in bulk.
  5. Add your locations and their settings to the template and save the file.
  6. Select Upload. For multi-warehouse accounts, choose the target warehouse from the dropdown before uploading.

How to Export Locations for Update in ShipHero

Export the locations you want to update to generate a pre-filled CSV template with each location's current settings.

  1. Go to Inventory > Locations.
  2. If you manage multiple warehouses, select the warehouse with the locations you want to update.
  3. Apply any filters or search terms to narrow the list to the locations you want to update.
  4. Select Export for Location Update.

ShipHero downloads a CSV file that includes only the locations that matched your filters, along with their current settings.

How to Edit the Location Update CSV Template

Open the exported file and update the settings for each location.

  1. Open the exported CSV file.
  2. Keep the ID column unchanged for every row. ShipHero uses this value to match each row to an existing location.
  3. Edit the Name column to rename a location. Leave it unchanged if you are not renaming the location.
  4. Edit the Pickable, Priority, Type, or Sellable columns to update those settings.
  5. Save the file as a CSV.

Important

ShipHero can only change a location's Sellable setting (switching between Sellable and Non-Sellable) if the location is empty. If a location still has inventory, its Sellable status will not update.

Note for Mac users: Save the file using the Windows Comma Separated (.csv) format. The default Mac CSV format is not supported for uploads.

Troubleshooting Locations CSV Upload Errors in ShipHero

The most common Locations CSV upload errors, for both creating and updating locations, come from the wrong warehouse selection, incorrect capitalization of Yes/No values, missing or extra columns, or duplicate location names.

Check Your Warehouse Selection and Permissions for a Locations CSV Upload

Most Locations CSV upload errors relate to the wrong warehouse being selected during the upload.

  1. Verify the warehouse selected in the ShipHero dropdown during upload matches the warehouse where you want to create or update the locations.
  2. Confirm your user account has permission to create and manage locations in that warehouse.
  3. For multi-warehouse accounts, confirm the CSV file contains only locations intended for the selected warehouse.

Validate Your Locations CSV File Content

Small mistakes in the CSV can cause the entire upload to fail.

  1. When you create locations, confirm all required columns are present: Name, Pickable, Priority, Type, and Sellable.
    • Add the Is Cart column only if you are creating Transfer locations.
    • Do not add any other columns. Extra columns cause an error. For multi-warehouse accounts, select the warehouse from the dropdown instead of adding a Warehouse column.
  2. When you update locations, keep the ID column unchanged for every row.
  3. Check for hidden characters or extra spaces in your location data that could cause validation errors.

Use a Batch Upload Strategy for Large Locations CSV Files

When a large Locations CSV fails, it can be hard to pinpoint the problem row.

  1. Split the CSV into smaller batches of 100 to 200 locations and upload each batch separately.
  2. When one batch fails and others succeed, you have isolated the rows causing the error. Correct those entries and re-upload.
