How to Set Up EDI with UPS

ShipHero supports UPS Electronic Data Interchange (EDI) so that you do not need to print out commercial invoices, aka customs docs, when shipping internationally. Once you complete the enrollment process for UPS Paperless Invoice you should be able to use the service within 24 hours; no additional settings need to be changed within ShipHero. 

NOTE: Not all countries support EDI; in this event, ShipHero will print all forms with the Shipping Label for your package.

The steps and information provided below are general instructions for enabling EDI via UPS. All questions regarding your UPS account and enabling UPS features must be handled by your UPS rep or the UPS support team. 

Required Information:

  • A UPS ID
  • A UPS Account Number
  • A digital image of your company letterhead
  • A digital image of your signature

General Steps

  1. Access your UPS account settings: Log in to your UPS.com account.
  2. Locate the EDI/Paperless Invoice settings: Navigate to the section related to invoicing or electronic documents. You might find it under "My UPS" and then "Maintain your UPS Account".
  3. Enroll in Paperless Invoice: You'll likely need to accept the UPS Paperless Invoice Letter of Agreement.
  4. Follow instructions for enabling EDI features: UPS documentation or prompts within the account settings will guide you through the specific steps for activating EDI capabilities for the types of documents you wish to exchange.

Frequently Asked Questions

How can I tell if ShipHero is using EDI for my shipments?

When shipping international orders, your ShipHero account is automatically set up to send all custom documents via EDI as long as the country where the order is being shipped accepts this type of custom form. When the shipping label prints out, you will know that customs docs were sent via EDI because there will be large letters stating “EDI” on the label. An example is shown below:

What if the country I am shipping to does not support EDI?

If the country you are shipping to does not accept electronic forms, ShipHero will print the customs forms with your shipping label. We recommend that these customs forms be placed in a pouch on the master shipping box for that order.

How can I see the customs documents in ShipHero?

Once the shipment is processed you can view customs documents by opening the order's details page. Scroll down to the Shipment Info section to see all tracking and customs information. The customs documents will be hyperlinked listed below the tracking number. An example is shown below:
