How to Create and Edit Client Rates in 3PL Billing Alpha

A rate is a billable event applied to one specific client. Rates are what ShipHero bills against when an event closes. Most rates start as a template you assign to a client, but you can also build a rate directly on a client and then turn it into a template afterward. To create several rates on a client at once, apply a billing profile.

How to Find and Filter Rates in 3PL Billing Alpha

The Rates tab shows every rate across all of your clients in one list. Use it to audit what you are billing as your client list grows. To see the rates for one client only, use Client Management instead.

  2. Select the Rates tab.
  3. Enter a name in Search by rate name to find one rate.
  4. Use the Client, Charge category, Transaction type, and Rate type filters to narrow the list.
  5. Select Columns to show or hide columns.
  6. Select Export to download the list.

The Rates tab shows the rate name, client, charge label, transaction type, charge category, rate type, and amount for each rate. Select a client name to open that client's Client Management page.

Pro-Tip

Save as template turns a rate you have created into a reusable template. Use it when you create a rate for one client and then want to bill other clients the same way. Saving a rate as a template copies its current settings, so editing the rate afterward does not change the template.

Rate Fields in 3PL Billing Alpha

These are the fields on the rate creation screen. Each one is defined in full in the template and rate fields table.

  • Rate name: How you find the rate inside ShipHero. Each rate name must be unique within a client.
  • Charge label: What your client sees on the charge.
  • Transaction type: Sets which warehouse event or schedule causes the rate to bill, such as Inbound shipments, Recurring, or Wholesale Order.
  • Charge category: Groups charges so you and your client can see how charges are distributed. Choose from Freight Prepaid, Freight Third Party, Handling, Labor, Materials, Miscellaneous, and Storage.
  • GL code: A code that maps the rate to a revenue account in your accounting platform. Enter one if you use one.
  • Rate type: Determines how ShipHero works out the quantity on the charge, such as Transactional, Accessorial, or Flat Fee.
  • Rate amount: The flat amount ShipHero applies to the quantity when it creates the charge.
  • Warehouse: Sets which warehouse the rate applies to. Select a single warehouse or all warehouses.
  • Save as template: Saves this rate as a reusable template you can assign to other clients.

Rate names must be unique within a client

One client cannot have two rates with the same rate name. You can reuse the same rate name on a different client, and each one can have its own charge label and amount.

How to Edit a Client Rate in 3PL Billing Alpha

  1. Go to Billing (Alpha) > Client Management and select the client.
  2. Find the rate you want to change and select the edit icon on the rate row.
  3. Update the rate name, charge label, charge category, or rate amount. You cannot change the transaction type or rate type. Both are permanent once you save the rate. To bill a different kind of event or change how the quantity is set, create a new rate instead.
  4. Save the rate.

Editing a rate does not change charges that already exist

A rate edit changes that client's rate only. The template the rate came from stays as it is, and your other clients are not affected. The edit applies to events that close from now on. To correct charges ShipHero already created, see How to Recalculate Charges in 3PL Billing Alpha.

How to Delete a Client Rate in 3PL Billing Alpha

  1. Go to Billing (Alpha) > Client Management and select the client.
  2. Find the rate you want to remove and select the delete icon on the rate row.
  3. Confirm the deletion. The template the rate came from is not affected, and deleting a template never removes rates already created from it.

Deleting a rate does not remove charges it already created

Charges the rate already created stay on the Charges screen, no matter their status. Deleting a rate only stops it from billing new charges going forward. A charge tied to a deleted rate is only removed if that event is later recalculated or if the event it came from is reopened and reclosed.

How to Export a Client's Rates List

Exporting gives you every rate for a client in one file, which makes review easier as your client list grows.

  1. Go to Billing (Alpha) > Client Management and select the client.
  2. Select the warehouse tab you want, or select All Warehouses.
  3. Select Export.
