When you have multiple warehouses in ShipHero, you can control which warehouses each user can access. A user limited to specific warehouses only sees those warehouses in dashboard filters, and dashboard data such as orders and products is filtered to those warehouses. Limiting warehouse access improves security, efficiency, and accountability across your operations.
Before You Begin
- Account requirement: Your ShipHero account has more than one warehouse.
- Required user role permission: Only users with permission to change user settings can update the warehouse a user is assigned to.

How to Set a ShipHero User's Default Warehouse
The Default Warehouse setting is the warehouse a user is assigned to. In the mobile and packing apps, the user sees the orders and inventory for this warehouse.
- Go to the Users & Roles page and select the user's name.
- Select a warehouse from the Default Warehouse dropdown.
- Save the user.
The assigned warehouse can also be changed on the settings page on shipping.shiphero.com and in the mobile app.
How to Set a ShipHero User's Allowed Warehouses
The Allowed Warehouses setting limits which warehouses a user can access. It is set on each user separately.
- Go to the Users & Roles page and select the user's name.
- Go to the Allowed Warehouses section.
- Select the warehouses the user can work in. If you do not select any warehouses, the user has access to all of them.
- Select Save.
How to Stop a ShipHero User from Changing Warehouses While Shipping
The Do not allow user to change their warehouse while shipping setting stops a user from changing their active warehouse in the mobile or packing apps. Turn it on in the user's App Settings.
Troubleshooting ShipHero User Warehouse Access
Warehouse restrictions can occasionally behave unexpectedly. Find the symptom below, then work through the troubleshooting steps.
ShipHero User Cannot View RMAs for an Allowed Warehouse
A user may not see Return Merchandise Authorizations (RMAs) even when they have access to the associated warehouse. This can indicate a permission issue specific to viewing RMAs. Start with step 1 below.
Restricted Warehouses Still Appear for a ShipHero User
A user may still see restricted warehouses in lists or filters. This suggests the restrictions have not fully applied, or other permissions on the user override them.
How to Troubleshoot ShipHero User Warehouse Access
- Check roles and permissions: Confirm the user's roles include the permissions they need, such as viewing RMAs or reports. See How to Create and Manage Roles and Permissions.
- Check Allowed Warehouses: Confirm the correct warehouses are selected in the user's Allowed Warehouses section.
- Wait, then re-save: Changes to user or warehouse settings can take a few minutes to apply. Wait a few minutes, have the user try again, then re-save the user's settings if the issue continues.
- Clear cached data: Have the user clear their browser cache and cookies and log in again. In the mobile or packing app, clear the app's data or reinstall it.
- Contact ShipHero Support: If the issue continues, contact Support with the user's name, the issue, and the steps you have already tried.
